Why it's different

Warm-up asks for trust. RoxInbox shows proof.

Most warm-up tools run for weeks as a black box, and you only find out they failed when reply rates fall. RoxInbox measures the result every day.

How it works

Three steps. Then it runs itself.

  1. 01

    Connect in 5 minutes

Add mailboxes with OAuth for Microsoft 365, or IMAP/SMTP for any other provider. Agencies can bulk-import from CSV. RoxInbox checks your DNS before it sends anything.

  2. 02

    Autopilot builds reputation

Each mailbox starts at 2-5 emails a day and ramps to 30-50, through real conversations that are opened, replied to and rescued from spam on human timings.

  3. 03

    See inbox placement daily

A health score per mailbox, placement by provider, and alerts in email and Slack the moment a mailbox starts to slide.

Adaptive warm-up that looks human

The ramp slows down when a provider sends spam signals and speeds up when they're clean. Conversations are written for each mailbox's industry and language, with no links and no templates.

FAQ

Questions people ask before they connect a mailbox.

Does email warm-up still work in 2026?

Yes, when it looks like real email. Simple ping-pong networks are losing value because large providers can fingerprint them. Warm-up that uses real aged accounts, written conversations, human timings and many providers still builds reputation. RoxInbox pairs it with placement tests, so you can see whether it works for your mailboxes rather than take it on trust.

How long does it take to warm up a new domain?

Two to four weeks for a typical new domain. RoxInbox starts at 2-5 emails a day and adapts the curve to reach 30-50 a day, slowing down on spam signals and speeding up on clean ones. Use the free warm-up calculator for a plan for your own domain.

Is email warm-up safe for my domain?

It is safe when volumes ramp gradually, authentication is correct and the warm-up traffic looks human. RoxInbox checks SPF, DKIM and DMARC first, keeps every mailbox on one stable IP, and pauses a mailbox automatically if its spam rate starts to climb. Warm-up is legal in the major jurisdictions; the risk lies in how it is done.

What is the difference between warm-up and a placement test?

Warm-up builds reputation; a placement test measures it. Warm-up sends and engages with real conversations so providers learn to trust a mailbox. A placement test sends one email to seed mailboxes at each provider and reports whether it landed in the inbox, promotions or spam. RoxInbox does both, every day.

Which email providers does RoxInbox cover?

Outlook and Microsoft 365, Google Workspace, Yahoo, Zoho, iCloud, Mail.ru, Yandex, GMX and WEB.DE, and any corporate SMTP server. No single provider makes up more than 40% of the network, so a policy change at one provider cannot wipe out everyone's reputation.

Will warm-up emails get in the way of my real email?

No. Warm-up messages are normal business conversations between network mailboxes, and they are archived automatically. Your campaigns and real replies are not touched, and after the ramp warm-up keeps running in the background at about 20-30% of your volume.

How many emails a day can I send after warm-up?

Most cold-email mailboxes plateau at 30-50 emails a day. Spreading volume across several mailboxes and domains is safer than pushing one mailbox harder, and RoxInbox shows the safe range per mailbox based on its health score.

What does the inbox-ready guarantee cover?

If a mailbox is below 85% inbox placement on day 21 of warm-up, its next month is free. Its DNS checks must be passing and its sending volume must stay within RoxInbox guidance. Read the full terms.

Is my data safe with RoxInbox?

Yes. Mailbox credentials are encrypted in a dedicated vault, RoxInbox acts only on its own warm-up messages, and customer data is protected to GDPR standards with a data processing agreement for every customer. The same controls apply to teams in the EU and the US. Read how security works.

Does RoxInbox work with Instantly, Smartlead or lemlist?

Yes. RoxInbox works alongside any tool that sends from your mailboxes, including Instantly, Smartlead, lemlist, Apollo and HubSpot. Plans start from $7.60 per mailbox per month billed annually.
