Comparison · updated quarterly
The best email warm-up tools in 2026, compared honestly.
Short answerChoose a standalone tool such as RoxInbox, Mailreach or Warmbox if you want warm-up that works with any sender and you want to measure the result; choose the warm-up built into Instantly, Smartlead or lemlist if you already send with that platform and price matters most. Whatever you pick, confirm it works with placement tests.

How to choose
Standalone or bundled?
Bundled warm-up (Instantly, Smartlead, lemlist) costs nothing extra if you already pay for the outreach platform. The trade-offs: the same tool that sends also grades its own warm-up, and switching outreach tools means starting again.
Standalone warm-up (RoxInbox, Mailreach, Warmbox) works with any sender and keeps running if you change outreach tools. You pay per mailbox, and in return you get dedicated deliverability features such as placement tests and monitoring.
What to compare
- Provider coverage. If your recipients use Outlook, Yahoo, Zoho, iCloud, Mail.ru, Yandex or GMX, check that the network builds reputation there, not only with the largest two providers.
- Proof. A warm-up score is not inbox placement. Look for real placement tests per provider.
- Network design. Ask how the tool avoids being fingerprinted: real aged accounts, varied content, human timing, segmentation.
- Total cost at your size. Per-mailbox pricing suits small teams; flat pricing suits large agencies.
- Data and compliance. Where credentials are stored, and whether a DPA is available.

Our recommendation
Whatever tool you choose, run an inbox placement test before warm-up and again on day 21. If placement hasn't improved, the warm-up isn't working for your mailboxes.
